COURT ADMINISTRATOR

(Temporary)

Salary: 113- $35,884.00 minimum salary

Distinguishing Features of the Position (Summary)

Performs administrative work in support of assigned court programs or court function. Duties include maintaining and preparing court documents, records, and correspondence for the court, direct, supervise, coordinate and plan the operations of all court records, and assist the judiciary in certain decision-making except in those judiciary decisions required by law to be made by judges. Positions in this class perform routine data processing and identify needed corrective actions to resolve discrepancies; answer questions; and maintain official documents and records.

Essential Functions

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Directs, supervises, coordinates and plans the operations of all court records, and assists the judiciary in certain decision-making except in those judiciary decisions required by law to be made by judges.

Prepares court documents as directed by the Judge; keeps the Court informed of any changes on status of weekly dockets; checks weekly with attorneys/parties on status of trial cases set for trial Make docket entries in the court system of cases heard in court; manages/maintains the Court's Calendar.

Prepares future Court setting concerning Civil Cases; prepares, duplicates and distributes of all civil dockets; conducts Docket Control Conferences with attorneys to set cases for Jury and or Bench Trial.

Keeps track of civil docket flow; prepares drop dockets twice a year; prepares Orders on different types of cases regarding a ruling; prepares for trial and prepares the jury chosen, and the Jury Charge.

Prepares and requests Purchase Orders for our department; manages/maintains the Court's budget; prepares Drop Dockets regarding inactive cases; obtains legal materials for the judge.

Expedites all other non-routine administrative matters as they arise; coordinates Judge's conferences; prepares correspondence/letters for Judge; prepares and coordinates court schedules; updates office inventory.

Provides assistance and information to employees, managers, vendors, citizens, local businesses, and/or and other interested parties regarding court functions. Explains policies and procedures.

Additional Functions

Performs other related duties as required.

Minimum Qualifications

High School Diploma or GED; supplemented by four (4) years of experience performing secretarial and/or administrative support work in a criminal justice system or legal environment; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.

ADA Compliance

Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.

This position is subject to a six (6) month probationary period prior to Civil Service eligibility. Must submit to a Civil Service Clerical Exam.
